Access Views
Access 2007 has eight main document view options, each of which allows you to view and edit your data in a different way. The view that you should choose depends primarily on the task that you’d like to perform. For instance, when editing table data, Datasheet view is likely the best choice because it displays all of your table’s data at a glance.
The Eight Types of Access Views
The eight Access views (and their respective icons) are:

Datasheet view:
For viewing data in a table, the results of a query, or the information on a form -
Design view:
Used primarily when working on the layout or appearance of objects -
Form view:
Used to view and enter data into a form -
Report view:
Used to view reports before printing -
Layout view:
Used to adjust the layout of reports before printing -
SQL view:
Used to view the SQL code that a query contains (SQL code is a type of computer code used to create database queries) -
Print Preview view:
Used to view how an object will look when printed before you print it -
PivotTable view:
For creating PivotTables (advanced interactive tables) based on a datasheet -
PivotChart view:
For creating PivotCharts (advanced interactive charts) based on a datasheet
Why Are Some Views Not Always Available?
The views that are available at any given time in Access vary based on the object you’re currently working on. For example, Datasheet view won’t be available when you’re working on a report, since reports don’t contain datasheets. Similarly, when working on queries, Print Preview view won’t be available, since you can’t print queries.
You can see which views are currently available by mousing over the View Selection bar
in the bottom right corner of the document window in any open object. As you mouse over the icons in the bar, a tiny window will appear that tells you the name of the view. The current view will appear highlighted in orange.

When you create a new database, by default Access will insert a blank table into the database and display it in Datasheet view—you’ll see the now-familiar grid of records and fields into which you can enter data. There are two main ways to change the current view:

In the Ribbon: Click on the tiny down-arrow in the View icon
at Home > Views. A menu appears in which you can select from the available views. - In the document pane: Click on the icons in the View Selection bar to switch among available views. The current view will appear highlighted in a different color from the other available views.
